Kanban cards

Printed reorder cards with a QR: scan when the shelf runs low and a reorder signal lands with the buyers or planners.

01Why it exists

Reorder points in a report only help if someone reads the report. A card on the bin is read by whoever empties it. Kanban turns that moment into a signal the buying or planning team sees the same day, with the quantity and the sourcing already decided.

02Enable an item

On the item’s Overview tab switch Kanban on and set the card quantity. The workspace suggests a reorder point and card quantity from recent usage and lead time — supplier lead time for bought-in items, production lead time for made ones, with a safety margin — and shows the working. Press Apply to take a suggestion; nothing is written otherwise. Bought-in items can also carry a purchase minimum order quantity and lead time used by the suggestion.

04Scan to signal

Scanning the QR with the phone shows the item with what is on hand and on order and one button: Signal reorder. It raises an open signal for the card quantity. Scanning the same card again while a signal is open shows the existing one instead of creating another. Staff who hold the purchasing or work-order area can raise the PO or job on the spot; everyone else is told it has gone to purchasing or planning.

05What buyers see

Open signals appear at the top of Purchasing → Commitments and as a count on the staff dashboard. Each can be raised as a draft PO on the default supplier, a draft work order, or dismissed with a note; the signal keeps a link to whatever it raised.
