Software for Australian shops · Xero · Manufacturing & job management · Australia

Quotes, jobs, stock and invoices for a manufacturer — with Xero as the ledger.

Xero is a very good ledger and a poor job system. NE Vault runs the shop — requests, quotes, orders, work orders, stock and the invoice — and the Xero connector keeps the books right without anyone typing an invoice twice.

CRM and the customer portal are free. Stock and production are $39 a month each, AUD ex GST.

The reality

Different shops. The same six problems.

  • “I type every invoice into Xero twice.”

The tax invoice raises from the order on despatch and pushes to Xero as it issues. Same lines, same PO number, same customer.

  • “Xero says paid, our system says overdue.”

Payments recorded in Xero come back and mark the invoice paid here, so statements and reminders are right.

  • “Xero invoices don't know what the job cost.”

The job's material and time are costed in NE Vault; Xero gets the invoice, you get the margin.

  • “Our stock is a spreadsheet next to Xero.”

Stock by location, scanned, allocated to jobs — in the system that raised the invoice.

  • “Customers want their invoices and statements without asking.”

Their portal shows invoices and statements; the accounts contact is emailed on despatch.

  • “We're on Xero and nothing manufacturing-grade fits a shop our size.”

Free CRM and portal, $39 for stock and invoicing, $39 for production, the connector as an add-on. No implementation project.

How a job goes through it

From the request to the money in the bank.

  1. 01

    Connect Xero from Settings.

Sign in to Xero, choose the organisation and the accounts to post to. Done once.

  2. 02

    Invoices push as they issue.

Raised on despatch from the order lines, with GST and the customer's PO number; the Xero invoice matches to the cent.

  3. 03

    Payments come back.

Record the payment in Xero as you do today; NE Vault marks the invoice paid and the customer's statement updates.

  4. 04

    Amendments stay in step.

Amend an invoice in NE Vault and the Xero copy is updated to match, so the two never drift.

  5. 05

Terms, statements and reminders run here.

Net 30 / 30 EOM, credit limits and holds, monthly statements and overdue reminders — from the system that knows the jobs.

Each step is a screen in NE Vault. See all seven, with the screen for each.

Australian by default

Built here, priced here, hosted here.

  • Prices in AUD, GST on every tax invoice, your ABN on the documents.
  • Net 30 and 30 EOM trade terms with credit limits, the way Australian shops actually trade.
  • Your data is hosted in Sydney; two-factor login and a full audit trail are on from day one.
  • Built inside a working engineering shop in Casula, NSW, that makes parts for mining and construction.
  • A web app — the same in Sydney, Melbourne, Brisbane, Perth, Adelaide or a regional mining town, nothing to install.

Invoices that go out the day the job ships

An invoice raised on Friday for a job that shipped on Tuesday is three days of your money in someone else's account.

Questions

The questions shops ask before they start.

Is the Xero integration native?

Yes. NE Vault connects to Xero directly — no Zapier or middleware. Invoices post as they issue and payments recorded in Xero come back to NE Vault.

Does it sync customers and items to Xero?

Invoices post with their customer and lines against the Xero contact. Stock levels and items stay in NE Vault — Xero is the ledger, not the warehouse.

What about MYOB or QuickBooks?

Xero is the connector available today. MYOB and others are by request — tell us on the demo call and we will say when.

What does the Xero connector cost?

It is a monthly add-on on top of the modules; the pricing page has the current figure. CRM and the portal stay free.

Can I keep invoicing from Xero for non-manufacturing work?

Yes. The connector only pushes invoices NE Vault raises. Anything you create in Xero directly is untouched.

Is my data in Australia?

Yes — hosted in Sydney, with two-factor login and an audit trail. Xero holds what you post to Xero.
