Software for Australian shops · Job shop software · Australia

Job shop software that runs the whole job — quote, floor, invoice.

NE Vault is the system a small job shop runs on — the customer's request, the quote, the order, the work order on the schedule, stock and the tax invoice — in one record instead of a spreadsheet, a whiteboard and three inboxes. Built by a job shop in Casula, NSW, for shops like yours.

CRM and the customer portal are free. Stock and production are $39 a month each, AUD ex GST.

The reality

Different shops. The same six problems.

  • “I spend my nights doing quotes.”

Every part you have made is on file at the revision you made it. A repeat quote starts from the last one, with the price breaks and margin worked out.

  • “Nobody knows where that order is up to.”

One pipeline for every order. The office, the floor and the customer all see the same status without a phone call.

  • “The schedule is a whiteboard.”

Work orders sit against real machine capacity. A rush job goes in and you see what it pushes.

  • “We ran out of stock and found out when the customer rang.”

On hand, allocated and available update as jobs are issued and deliveries are received by scan — nobody types a number.

  • “I type every invoice into Xero twice.”

The invoice is raised from the order and sent on despatch. With the Xero connector it lands in your books and is marked paid when the money arrives.

  • “The customer wants the drawing, the cert and the invoice — in three emails.”

Their portal holds their parts, drawings, quotes, orders and invoices, with 3D models view-only unless you allow download.

How a job goes through it

From the request to the money in the bank.

  1. 01

The request lands with the drawing attached.

From the customer's portal, or logged by you after the phone call. Drawing, quantity and the date they need it, in a queue with an owner — not in an inbox.

  2. 02

You quote from what you made last time.

The part, the method and the last price are on file. Add quantity breaks if they asked for the 10-off and the 100-off, check the margin, send. They approve it online.

  3. 03

The approved quote becomes the order.

Lines, PO number and delivery carried across. It joins the pipeline: received, in production, QC, invoiced, shipped, completed — and the customer can see which.

  4. 04

The order becomes a job on the schedule.

A work order with its bill of materials and routing, placed against your machines' real capacity, with a warning if material is short. Operators scan the job card on a phone.

  5. 05

It ships, and the invoice goes with it.

Despatch issues the stock and raises the tax invoice from the same lines. It emails to their accounts address that day; with Xero connected it is in your books and marked paid when the money lands.

Each step is a screen in NE Vault. See all seven, with the screen for each.

Australian by default

Built here, priced here, hosted here.

  • Prices in AUD, GST on every tax invoice, your ABN on the documents.
  • Net 30 and 30 EOM trade terms with credit limits, the way Australian shops actually trade.
  • Your data is hosted in Sydney; two-factor login and a full audit trail are on from day one.
  • Built inside a working engineering shop in Casula, NSW, that makes parts for mining and construction.
  • A web app — the same in Sydney, Melbourne, Brisbane, Perth, Adelaide or a regional mining town, nothing to install.

Quoting the parts you have made before

Questions

The questions shops ask before they start.

Is NE Vault built for job shops or adapted from a generic ERP?

Built for job shops. It started as the system NE Solution, an engineering shop in Casula NSW making parts for mining and construction, runs on every day. The screens are Quotes, Orders, Jobs and Stock — not modules you have to configure to mean something.

How much does job shop software cost?

CRM and the customer portal are free with one staff user and unlimited customer logins. Stock, purchasing and invoicing (ERP) is $39 a month, production (MRP) is $39 a month, extra staff are $7 each. AUD, ex GST, cancel any month.

Can my customers see where their job is up to?

Yes. Each customer has a portal login that shows their orders and the status of each, their quotes to approve, and their invoices and statements — so the status calls stop.

Does it schedule against my machines?

Work orders are placed against each machine's capacity and calendar. Operators scan the job card to start and finish, and the board on the wall shows what is queued, running and done.

Does it work with Xero?

Yes. The Xero connector pushes invoices as they issue and marks them paid when the payment lands in Xero. MYOB and other packages are by request.

Can I try it with a real job before signing up?

Open the sandbox — a read-only demo shop, no sign-up — and click through a job. Or start a free workspace and quote one of your own parts; it takes about a minute to open.

See it with your own parts.

Start free and your trade's template is applied as you sign up — or book thirty minutes and we set it up with you, on your own parts.
