How a job goes through it

From the request to the money in the bank.

  1. 01

    The request lands with the drawing attached.

    From the customer's portal, or logged by you after the phone call. Drawing, quantity and the date they need it, in a queue with an owner — not in an inbox.

  2. 02

    You quote from what you made last time.

    The part, the method and the last price are on file. Add quantity breaks if they asked for the 10-off and the 100-off, check the margin, send. They approve it online.

  3. 03

    The approved quote becomes the order.

    Lines, PO number and delivery carried across. It joins the pipeline: received, in production, QC, invoiced, shipped, completed — and the customer can see which.

  4. 04

    The order becomes a job on the schedule.

    A work order with its bill of materials and routing, placed against your machines' real capacity, with a warning if material is short. Operators scan the job card on a phone.

  5. 05

    It ships, and the invoice goes with it.

    Despatch issues the stock and raises the tax invoice from the same lines. It emails to their accounts address that day; with Xero connected it is in your books and marked paid when the money lands.

Questions

The questions shops ask before they start.

Can it handle one-off fabrication where no two jobs are the same?

Yes. A job does not need an existing item — the quote can carry one-off lines, and a work order is raised from the order with whatever BOM and routing that job needs.

How do outside processes like galvanising work?

As a purchase order raised against the job. When it comes back you receive it, optionally inspect it, and the job carries on. The cost sits on the job.

Can I invoice part of an order?

Yes. Partial despatch raises a delivery note for what shipped, invoices it, and the rest becomes a back-order on its own invoice later.

Do I still need my nesting or CAD software?

Yes. NE Vault does not nest or draw; it holds the drawings and models, quotes, jobs, stock and invoices around them.

Does it replace Xero?

No. Xero stays your accounting system. NE Vault pushes the invoices across and marks them paid when Xero receives the money.

What does it cost?
