ERP for a small manufacturer: stock, purchasing and invoicing without the big-ERP price.

ERP is the system that knows what you have, what you have ordered and what you are owed. For a shop of five or fifteen people that is stock, purchasing and invoicing — not a year-long rollout. NE Vault's ERP module is $39 a month, switches on in a minute, and sends your invoices to Xero.

CRM and the customer portal are free. Stock and production are $39 a month each, AUD ex GST.

The reality

Different shops. The same six problems.

  • “We've outgrown spreadsheets but the big ERPs cost a fortune and take a year.”

Switch the module on, set your bins and start scanning. There is no implementation project — the catalog for your trade is set up on day one.

  • “We ran out and found out when the customer rang.”

On hand, allocated and available by location, updated by the scan that moved the stock. Reorder points and Kanban cards raise purchase orders before the bin is empty.

  • “The delivery came in and nobody knows if it was checked.”

Goods receipts against the PO, inspection with a QC hold, and put-away by scan. Held stock cannot be issued or shipped.

  • “Invoicing is a Friday job.”

The tax invoice raises from the order when it ships and emails itself to their accounts address, with GST and your ABN on it.

  • “Who owes us what?”

Trade terms per customer, credit limits, statements emailed monthly, overdue reminders, and a credit hold on orders that go over.

  • “I type every invoice into Xero twice.”

The Xero connector pushes invoices as they issue and marks them paid when the money lands in Xero.

How a job goes through it

From the request to the money in the bank.

  1. 01

Stock is set up by location.

Bins, racks and vans; on hand, allocated and available per item; lots and serials where it matters. Labels print with a QR code.

  2. 02

    Purchasing follows the shortfall.

Reorder points, Kanban cards or committed demand suggest the purchase order; you send it; the supplier's delivery is received against it.

  3. 03

    Receiving and inspection.

Scan the delivery in, inspect it if the item needs it, put it away. Rejected stock is held, not hidden.

  4. 04

    Despatch raises the invoice.

Delivery note and tax invoice from the same order lines, partial despatch and back-orders handled, emailed on the day.

  5. 05

Xero gets the invoice and the payment.

Invoices push across as they issue; payments recorded in Xero mark them paid here. Statements and reminders run themselves.

Each step is a screen in NE Vault. See all seven, with the screen for each.

Australian by default

Built here, priced here, hosted here.

  • Prices in AUD, GST on every tax invoice, your ABN on the documents.
  • Net 30 and 30 EOM trade terms with credit limits, the way Australian shops actually trade.
  • Your data is hosted in Sydney; two-factor login and a full audit trail are on from day one.
  • Built inside a working engineering shop in Casula, NSW, that makes parts for mining and construction.
  • A web app — the same in Sydney, Melbourne, Brisbane, Perth, Adelaide or a regional mining town, nothing to install.

The stock you thought you had

A job that waits on material you believed was on the shelf costs more than the material.

Questions

The questions shops ask before they start.

What is ERP, in plain words?

Enterprise Resource Planning: the one record of what you have in stock, what you have ordered from suppliers, what you have sold and what you are owed. In NE Vault that is the Inventory, Purchasing and Invoicing screens, and the trade accounts behind them.

How is this different from a big ERP like SAP or NetSuite?

It is sized for a shop, not a corporation: no implementation project, no consultant, $39 a month, and the screens are named after what you do. If you need multi-company consolidation or a warehouse management system, you need the big one.

How long does it take to set up?

The workspace opens in about a minute with your trade's catalog. Loading items and opening stock is a CSV import; most shops are scanning within a day. We can do it with you on a 30-minute call.

Does it replace Xero or MYOB?

No. Your accounting package stays the ledger. NE Vault connects to Xero today (invoices out, payments back); MYOB and others are by request.

Is it hosted in Australia?

Yes, in Sydney. Prices are in AUD, tax invoices carry GST and your ABN, and trade terms work the way Australian shops trade — Net 30 and 30 EOM.

Can I start with just stock and add production later?

Yes. ERP (stock, purchasing, invoicing) and MRP (work orders, scheduling, the floor) are separate $39 modules; switch either on or off any month.
