    Tax invoices with GST and ABN emailed to their accounts address on despatch, pushed to Xero, marked paid when the money lands.

How a job goes through it

From the request to the money in the bank.

  1. 01

    The request lands with the drawing attached.

    From the customer's portal, or logged by you after the phone call. Drawing, quantity and the date they need it, in a queue with an owner — not in an inbox.

  2. 02

    You quote from what you made last time.

    The part, the method and the last price are on file. Add quantity breaks if they asked for the 10-off and the 100-off, check the margin, send. They approve it online.

  3. 03

    The approved quote becomes the order.

    Lines, PO number and delivery carried across. It joins the pipeline: received, in production, QC, invoiced, shipped, completed — and the customer can see which.

  4. 04

    The order becomes a job on the schedule.

    A work order with its bill of materials and routing, placed against your machines' real capacity, with a warning if material is short. Operators scan the job card on a phone.

  5. 05

    It ships, and the invoice goes with it.

    Despatch issues the stock and raises the tax invoice from the same lines. It emails to their accounts address that day; with Xero connected it is in your books and marked paid when the money lands.

Who built this and do they supply mining customers?

Kojomfg builds NE Vault inside NE Solution, an engineering shop in Casula NSW that makes parts for mining and construction customers. NE Solution is its first user; the product is shaped by those customers' demands.

Can a mine site's procurement team order through the portal?

Yes. Each customer organisation can have several portal users with their own roles — a fleet manager who orders, an accounts person who sees invoices and statements.

Are our drawings and models safe in a customer portal?

Files are never public. 3D models are view-only unless you allow download, two-factor login is available, and every download is in the audit log. Data is hosted in Sydney.

Does it handle 30 EOM and credit limits?

Yes. Each trade account has its terms and a credit limit; orders over the limit go on hold for you to release, statements email monthly, overdue reminders are automatic.

Can I keep using Xero?

Yes. Xero stays the ledger; NE Vault pushes invoices across and marks them paid from Xero's payments.

Is it only for manufacturers, or also for suppliers who stock parts?

Both. Items can be made in-house on work orders or bought on purchase orders and held in stock; the portal and the invoicing are the same either way.
