Software for hose and fittings shops: the assembly, the spares and the repair on one record.

A hose shop sells three things at once: assemblies made to order, fittings off the shelf and repairs on the bench — often to the same mine site or fleet. NE Vault keeps all three against one customer record, with the stock in the right bin and the invoice out the same day.

CRM and the customer portal are free. Stock and production are $39 a month each, AUD ex GST.

The reality

Different shops. The same six problems.

  • “Which hose did we make for that excavator last time?”

Every assembly is an item with its BOM — hose, fittings, length — against the customer. The reorder is a click from their portal or yours.

  • “The fittings bin was empty and the truck was waiting.”

Stock by bin with min and max, Kanban cards you scan to reorder, purchase orders raised from what is short.

  • “The repair, the parts and the labour are on three bits of paper.”

A repair is an order with a work order behind it: parts issued, time scanned, one invoice.

  • “Mine sites want the cert with the delivery.”

Lots and certificates follow the stock; documents attach to the order and are in the customer's portal.

  • “They pay 30 days end of month and nobody tracks it.”

Trade accounts with Net 30 or 30 EOM terms and credit limits, statements emailed, overdue reminders.

  • “I key the invoices into Xero at night.”

Invoices raise on despatch and push to Xero; payments mark them paid.

How a job goes through it

From the request to the money in the bank.

  1. 01

The site rings, or orders from their portal.

A reorder of an assembly they have had before, a fittings pick, or a repair — each lands as an order against the customer with its PO number.

  2. 02

Assemblies are built from the BOM.

A work order carries hose, fittings and length; the bench scans to start and finish and the fittings come off stock.

  3. 03

Fittings are picked from the bin.

Pick by location, scan to issue, Kanban or min/max reorders what the pick drained.

  4. 04

The repair is costed as it goes.

Parts issued and time scanned land on the work order, so the invoice is right the first time.

  5. 05

It ships, and the invoice goes with it.

Despatch issues the stock and raises the tax invoice from the same lines. It emails to their accounts address that day; with Xero connected it is in your books and marked paid when the money lands.

Australian by default

Built here, priced here, hosted here.

  • Prices in AUD, GST on every tax invoice, your ABN on the documents.
  • Net 30 and 30 EOM trade terms with credit limits, the way Australian shops actually trade.
  • Your data is hosted in Sydney; two-factor login and a full audit trail are on from day one.
  • Built inside a working engineering shop in Casula, NSW, that makes parts for mining and construction.
  • A web app — the same in Sydney, Melbourne, Brisbane, Perth, Adelaide or a regional mining town, nothing to install.

The stock you thought you had

A job that waits on material you believed was on the shelf costs more than the material.

Questions

The questions shops ask before they start.

Is this for hose shops specifically?

The hydraulics, repair and service sector template sets up methods, materials and request forms for hose and fittings and for repair work on day one. The demo shop makes hose assemblies, so you can see it before you sign up.

Can customers reorder an assembly themselves?

Yes. Their portal lists what they have bought with the drawing or spec; they add it to a basket and the order lands in your queue with their PO number.

Does it do min/max or Kanban reordering?

Both. Set a reorder point on an item, or print Kanban cards for the bin and scan them when a bin empties; purchasing suggests the orders.

Can I track repairs and spares on the same customer?

Yes. Everything — assemblies made, fittings sold, repairs done — sits on one customer record with the contacts, the terms and the history.

Does it handle mine-site paperwork?

Lots and serials follow the stock, certificates and inspection records attach to receipts and orders, and the documents are in the customer's portal next to the invoice. It does not replace your quality management system.

What does it cost?

CRM and the portal are free; stock, purchasing and invoicing are $39 a month, production is $39 a month, extra staff $7 each. AUD, ex GST.
