A CRM for a workshop, not a sales team: requests, quotes and orders in one place.

A manufacturer's CRM is not a pipeline of leads — it is every customer's parts, requests, quotes, orders and terms on one record, so anyone in the office can answer the phone. NE Vault's CRM is free, comes with a customer portal, and turns an approved quote into an order with one click.

CRM and the customer portal are free. Stock and production are $39 a month each, AUD ex GST.

The reality

Different shops. The same six problems.

  • “The quote lives in Outlook and the order lives in someone's head.”

Requests, quotes and orders are one chain on the customer record: the quote is sent from the request, the order is created from the quote, nothing is re-typed.

  • “I spend my nights doing quotes.”

Quote from the part you made last time with its price breaks; see cost and gross margin as you type; send it for online approval.

  • “They rang to ask where it's up to. Again.”

Their portal shows every order's stage, their quotes to approve and their invoices. The status calls stop.

  • “New customer, no terms, no PO, job already started.”

Trade account applications, credit limits and Net 30 / 30 EOM terms; orders over the limit go on hold until you release them.

  • “Three people quoted the same customer three prices.”

The customer record holds the agreed price breaks and the history; the quote starts from there, whoever is at the desk.

  • “Walk-in wants a price today and doesn't need an account.”

One-off customers and one-off items can be quoted straight from the quote screen, with sign-up optional.

How a job goes through it

From the request to the money in the bank.

  1. 01

The request arrives with the file.

Through the customer's portal on a form you designed — drawing, quantity, date — or logged by you after the call. It has an owner and a priority.

  2. 02

The quote is built from what is on file.

Parts, methods, materials and last prices; price breaks on one document; margin visible; a validity date; sent for approval online.

  3. 03

    Approval creates the order.

Lines, PO number, delivery and payment method carried across; a card payment, bank transfer or trade account. The customer sees it in their portal.

  4. 04

    Terms and credit run themselves.

Applications, limits, holds and releases; statements and reminders; the accounts contact gets the invoice.

  5. 05

The whole story on one record.

Contacts, activities, requests, quotes, orders, invoices, documents — one customer, one screen.

Each step is a screen in NE Vault. See all seven, with the screen for each.

Australian by default

Built here, priced here, hosted here.

  • Prices in AUD, GST on every tax invoice, your ABN on the documents.
  • Net 30 and 30 EOM trade terms with credit limits, the way Australian shops actually trade.
  • Your data is hosted in Sydney; two-factor login and a full audit trail are on from day one.
  • Built inside a working engineering shop in Casula, NSW, that makes parts for mining and construction.
  • A web app — the same in Sydney, Melbourne, Brisbane, Perth, Adelaide or a regional mining town, nothing to install.

Questions

The questions shops ask before they start.

Is this a sales CRM like HubSpot or Pipedrive?

No. It is the customer record a workshop needs — parts, requests, quotes, orders, terms and documents — with a portal on the customer's side. It does not do email campaigns or lead scoring.

Is the CRM really free?

Yes. CRM and the customer portal are free with one staff user and unlimited customer logins, no time limit and no card. Extra staff are $7 a month; stock and production are paid modules.

Can customers approve quotes online?

Yes. The quote emails with a link; they approve it there or in their portal, and the order is created from it with the lines carried across.

Can I quote a one-off customer without setting them up?

Yes. The quote screen lets you quote a new customer and new items in one go; they get a sign-up link only if you tick it.

Does it do price breaks?

Yes. A quote can carry quantity tiers on one document — the 10-off and the 100-off — with cost and margin shown for each.

How do trade terms work?

A customer applies for a trade account from their portal or you grant one; set the limit and the terms (Net 30 or 30 EOM), and orders over the limit go on hold for you to release.
